Business Administration Apprentice – Kidderminster
Job Purpose
To provide a professional, efficient, and welcoming front-of-house service to patients and visitors, while supporting the smooth administrative operation of the clinic in line with UK healthcare standards, including patient confidentiality and data protection.
Key Responsibilities
- Greet patients and visitors in a professional and courteous manner
- Manage appointment bookings (in person, phone, and online systems)
- Handle incoming calls and respond to enquiries appropriately
- Ensure the reception area is tidy, presentable, and welcoming
Administrative Duties
- Process referrals, test results, and correspondence
- Manage clinic diaries and clinical schedules
- Handle basic financial transactions
- Liaise with clinicians and contractors
Patient Care & Support
- Provide clear information about services, fees, and procedures
- Ensure patient confidentiality at all times
- Assist patients with forms and general queries
- Manage sensitive situations with professionalism and empathy
- Chaperone patients when required
Compliance & Operations
- Follow clinic policies, health & safety regulations, and infection control procedures
- Ensure compliance with Care Quality Commission (CQC) standards
- Support audits and inspections where required
- Maintain stock levels of office, clinic and reception supplies
Key Skills & Experience
Essential
- Excellent communication and interpersonal skills
- Strong organisational and multitasking abilities
- Professional telephone manner
- Understanding of confidentiality and data protection
- Maths and English GCSEs (or equivalent) at grades 4/C or above
Desirable
- Experience in a healthcare or private clinic setting
- Knowledge of medical terminology
- Familiarity with practice management software – Clinico
- Experience handling payments or invoicing
- Previous experience in a receptionist or administrative role
